Terms and Conditions
EVENT DURATION POLICY
Romantic picnics are for a 2 hour hire period.
Group picnics are for a 3 hour hire period with extended hire available on request at $40 + GST per hour thereafter.
Request and confirmation of additional event hours to be provide no less than 2 weeks in advance of event date and are subject to Pixie staff availability.
Client lateness is at the expense of the client, with no additional time allowance added to the event timing on the event date.
EVENT LOCATION POLICY
Public outdoor event location is subject to shire permit requirements and event date.
By the Loving Pixies reserves the right to change event location prior to or on event date due to seen on unforeseen circumstances as determined By the Loving Pixies. Notice of event location change will be advised to the client as soon as possible with recommendations provided by the client, and final event location determined By the Loving Pixies prior to setup of event inventory.
Event locations further than 25km from central Perth are subject to a 20% surcharge paid by the client to By the Loving Pixies upon booking event (50%) and final payment (50%).
Event locations beachside are subject to 20% inventory cleaning surcharge paid by the client to By the Loving Pixies upon booking event (50%) and final payment (50%).
Private locations such as back gardens require sufficient space for inventory setup. Space requirement size agreed between client and By the Loving Pixies upon booking event.
Private indoor locations such as event halls are to be arranged by and booked by the client with all relevant confirmation paperwork pertaining to the booking provided to By the Loving Pixies upon booking of picnic event.
VENDOR AND EVENT MANAGEMENT POLICY
Vendor recommendations to the client as per current vendor list on By the Loving Pixies website is recommendation only.
By the Loving Pixies hold no responsibility for vendor booking Terms and Conditions with all vendor Terms and Conditions at the expense and responsibility of the client.
Vendor assistance By the Loving Pixies in the way of vendor recommendation to the client, providing contact between the vendor and client and assistance with booking the vendor is subject to 20% event management surcharge of the total event charge paid by the client to By the Loving Pixies upon booking event (50%) and final payment (50%).
CONSUMPTION OF ALCOHOL DURING EVENT
In WA, consumption of alcohol in a public place is illegal, unless a permit is sought. If you require a permit for your event, please let us know, we will assist you in contacting the relevant shire.
PAYMENT POLICY
To secure picnic event booking a 50% deposit of the total event charge is to be paid by the client to By the Loving Pixies into the confirmed bank account details provided. The remainder 50% payment of the total event charge is due to be paid two weeks prior to the agreed and confirmed picnic event date by the client to By the Loving Pixies into the confirmed bank account details provided.
To secure picnic event booking the client is to provide full credit card bond details to By the Loving Pixies in the way of returning the bond form supplied to the client By the Loving Pixies.
If the confirmed picnic event date is within two weeks of the booking date, full payment of 100% is due by the client to By the Loving Pixies into the confirmed bank account details provide.
By the Loving Pixies reserves the right to cancel picnic event should the client fail to meet payment terms, with all deposits paid by the client held By the Loving Pixies.
GST POLICY
All services provide By the Loving Pixies to the client including but not limited to all applicable surcharges exclude GST.
BOND POLICY
To secure picnic event booking the client is to provide full credit card bond details to By the Loving Pixies in the way of returning the bond form supplied to the client By the Loving Pixies.
Credit card bond will vary and will pertain to total picnic event package cost and detailed on form provide to the client.
By the Loving Pixies agree to not charge the client credit card details provided unless required to under the terms & conditions of the picnic event booking as outlined in the bond form provided to the client.
By the Loving Pixies agree to contact the client prior to bond charges as outlined in the terms and conditions on bond form provided to the client should they occur, confirming charge amount in advance.
REFUND AND CANCELLATION POLICY
Picnic event booking deposits and full payments made by the client to By the Loving Pixies are non-refundable in the instance the client is unable to proceed with the event booking with the exception of the rain day policy as outlined in By the Loving Pixies Terms and Conditions below.
RAIN DAY POLICY
By the Loving Pixies agree to liaise with the client regarding their event booking 4 days out from confirmed event date and at mutually agreed days by the client and By the Loving Pixies in the lead up to the event booking to discuss upcoming unpredictable weather.
In the event of unpredictable weather as determined By the Loving Pixies and advised to the client including but not limited to rain forecast, a mutual solution will be agreed upon in regards to changes of picnic event booking time, date and location.
Mutually agreed changes to picnic event booking time, date and location are subject to By the Loving Pixies inventory, staff availability along with event date and required shire permit.
In the instance, the mutually agreed changes to picnic event booking time, date and location is undecided upon by both the client and By the Loving Pixies a full refund of the event booking will be offered to the client with payment into provided bank account details provided by the client within 7 working day of original event date.
In the instance, an event cancellation with full refund is provided By the Loving Pixies to the client, the client accepts the responsibility and expense of all vendor Terms and Conditions. By the Loving Pixies hold no responsibly for vendor booking Terms and Conditions.
EVENT NUMBER CHANGES
By the Loving Pixies reserve the right to hold firm the guest numbers confirmed by the client to By the Loving Pixies regarding the clients picnic event booking once the 50% deposit or full payment is made by the client to By the Loving Pixies.
In the circumstance By the Loving Pixies agree to amend guest numbers regarding the picnic event booking as requested by the client, all agreed amendments are subject to picnic event inventory and Pixie staff availability.
In the circumstance By the Loving Pixies agree to amend guest numbers regarding the picnic event booking as requested by the client, the client will be provided with revised event order paperwork for signing, detailing mutually agreed changes for resubmission to By the Loving Pixies by the client and prior to the event booking.
By resubmitting signed event booking order paperwork, both By the Loving Pixies and client agree to refund (By the Loving Pixies) or provide additional event cost payments (client) within 7 working days of the resubmission of event booking form paperwork and into provided bank account details provided.
PRIVACY POLICY
All client information obtained By the Loving Pixies is kept in a private database system owned solely By the Loving Pixies. No information is shared to any third party.
